Preflight · Print files and approvals

Check artwork earlier.
Give your prepress team more time.

Missing bleed, incorrect page counts or unclear file details often surface when an order should be moving forward. Skilled staff then make corrections under pressure. We align file checks with your products and production requirements. Clear guidance, stops and approvals help your team focus on cases needing professional judgement.

What we handle

A clear assignment.
Practical delivery.

Checking profiles for products and processes

We translate your product requirements into checking rules for format, orientation, bleed, page count and resolution. Flyers, brochures and large-format products are assessed against their own specifications. General default values do not replace your production team’s decisions.

Commission print file checks and corrections

We check actual customer files against your production requirements, including colour spaces, fonts, crop marks and relevant PDF/X properties. Within the agreed scope, we make technically feasible corrections according to your approved instructions and document changes. Missing content or the need for replacement artwork is reported back. Technical checking does not approve design, spelling or content accuracy.

Integrate checks into uploads and orders

We examine where your shop or workflow can support early checks. Guidance, warnings and production-critical errors have different consequences. Where the integration allows it, a defined stop prevents handover until corrected artwork or an authorised approval is available.

Define corrections and customer guidance

Customers need to understand what to do next. We write relevant guidance and agree which corrections can follow rules and which require prepress review. Changes affecting the printed result remain controlled. Automation cannot reliably recreate missing image detail or supply content that the customer has not provided.

Organise results and exception handling

Your team should see which file was checked, what was flagged and who owns the next step. We define statuses, responsibilities and records. Recurring issues can inform better templates, clearer customer instructions or revised product-specific rules.

An example from everyday print business

Example: Catch missing bleed before the production handover

Starting point

A customer orders flyers and uploads artwork. Prepress later discovers that the required bleed is missing. Order processing staff contact the customer while production waits for a replacement file.

Our assignment

For this workflow, checking is linked to the ordered product. The defined issue triggers clear guidance and the agreed stop. A replacement upload is checked again; special cases are passed to the responsible person.

What changes

The aim is to resolve the issue earlier with an explicit next action. Whether artwork can be adjusted or the customer must supply a new file remains a controlled decision under your production rules.

How we work together

From your task to implementation.

  1. Review files and specifications

We examine typical customer artwork, recurring questions and your production requirements for a selected group of products.

  2. Define rules and approvals

Together we establish checking criteria, messages, stops and responsibility for corrections, approvals and exceptions.

  3. Test the workflow

We test suitable and faulty files, check handovers and agree the introduction with your prepress team.

FAQ

Questions about this service

Will every uploaded file automatically become print-ready?

No. Checking, correcting and approving are separate steps. Some errors can follow agreed rules; others need replacement artwork or professional judgement. We define these boundaries for your products and make them visible before the file reaches production.

Can we keep our existing preflight software?

We investigate that first. Existing tools, profiles and interfaces can provide the foundation. What matters is their output and how your shop or workflow can use it. This service does not require a new webshop or replacement of your tools.

Who decides whether a warning should stop production?

Requirements come from your production team. Together we classify issues and define their consequences. An intentionally accepted deviation needs a traceable owner. Decisions about exceptions remain with the appointed people in your business, supported by clear rules.

What do you need from us to get started?

Representative files, artwork requirements and typical problem cases are useful. We begin with a manageable product area and map the current process. This establishes the scope, implementation effort and practical test cases for later acceptance.

The next step

Which artwork issues keep your prepress team busy?

In a free initial check, we look at your recurring cases and identify where a clearer checking and approval process could make daily work easier.
